Job Summary
The Medical Office Assistant is a vital ambassador of our care team—responsible for delivering exceptional service to patients and their families. With a focus on professionalism, compassion, and precision, this role ensures that every interaction—whether on the phone or in person—reflects the care and excellence that define Lake Forest Pediatrics.
Key Responsibilities
- Phone Coordination
- Manage and respond to high-volume incoming calls with warmth, clarity, and efficiency.
- Assist with patient inquiries, schedule appointments, route calls appropriately, and deliver accurate messages to clinical and patient education teams.
- Transcribe voicemail messages and follow department guidelines for timely follow-up.
- Ensure all patient appointments are scheduled, confirmed, and rescheduled with exceptional attention to detail.
- Front Desk and Reception
- Greet every patient and visitor with a genuine, welcoming presence that sets the tone for a positive experience.
- Accurately verify and update patient demographics and insurance information.
- Ensure all required forms are completed, including consents and payment authorizations.
- Collect co-pays and outstanding balances in a respectful and professional manner.
- Prepare appointment documentation a week in advance, ensuring accuracy and completeness.
- Appointment Scheduling and Template Support
- Create, maintain, and revise provider appointment templates in Intergy as directed by the Physician Liaison.
- Collaborate on rounding, holiday, and daily schedule planning to ensure continuity of care.
- Manage daily provider resource groups in Intergy to optimize access and flow.
- Work closely with the Front Office Manager and Director of Nursing to communicate changes and ensure seamless coordination across departments.
